Pacific Western Bank Loan Assistant in Ventura, California

Overview

This position performs a variety of administrative functions necessary to support the relationship management of the commercial lending portfolio. The individual will work with loan officers, customers and other departments, assuring consistent communications in a professional, timely manner. Incumbent may assist customers and resolve problems concerning commercial relationships in a positive, cost-effective manner. Position supports a team of Commercial Lenders and also has cross-training support of certain commercial loan operations functions. This is intended as a general description, but duties may differ somewhat between lender assignments.

Responsibilities

RESPONSIBILITIES:

  • Assist Commercial Lenders by providing administrative support as assigned for all aspects of the commercial lending program involving file maintenance, loan closing and subsequent servicing.

  • Serve as a secondary contact point for present and potential customers. Coordinate correspondence and follow-up activities, both verbal and written, between clients, manager, and loan officers. Assists in follow-up activities to reduce delinquencies and to maintain file documentation in a current status. Promotes or cross-sells other Bank products and services to clients and potential customers.

  • Respond to inquiries from customers, loan officers and/or interdepartmental personnel concerning status of and/or problems arising during the course of commercial loan and deposit transactions. Researches circumstances and seeks to provide rapid, positive and accurate communications and resolutions to problems encountered.

  • Obtain and review preliminary documentation from clients required to underwrite loans, such as articles of incorporation, tax reports, census tract and MSA information, OFAC searches, etc. Orders and coordinates third party reports such as UCC searches, credit reports, and OFAC information.

  • Follow up on tickler file for each loan to assure adherence to the covenants and conditions pertaining to each loan. Review customer files to determine what financial and other information is needed and or required and prepare the correspondence to customers requesting such. Contact customers to obtain necessary information such as financial statements, borrowing base reports, etc. Assure each item is addressed for appropriate action, such as scheduling, updates of applicable financials, certifications of appropriate aspects of the business, etc.

  • Assemble and verifies accuracy of documentation for loans. Assist lender in closing loans with customers as needed and review the boarded loan to make sure loans are properly recorded on the Bank’s accounting systems. Obtain requisite insurance prior to boarding loan and follow for receipt of renewals annually.

  • Order loan documents and prepares document packages for loan boarding.

  • Order and track annual Property Inspections on loans secured by real estate. Process invoices for payment of such.

  • Build and maintains loan file folders according to Bank standards.

  • Handle customer requests for loan advances and coordinate advances with the Loan Operations area.

  • Possess a thorough understanding of the bank’s Fiserv, ITI and other systems to obtain needed information to support officers and customer inquiries. Pull, copy and distribute reports for officers daily/weekly, past dues, tickler exceptions, note trial balance report and notes coming due reports. Prepare weekly Past due and Production Reports including coordinating the gathering of accurate information from lenders in a timely manner.

  • Deal with customers on past due loan inquiries and daily overdrafts. Look up manually any type of ACH product and transfer according to current borrowing base reports submitted by customers.

  • Provide light administrative support to the EVP, Manager. Maintain borrower fees accounts, prepares monthly general ledger certifications, prepares monthly status reports, perform daily/weekly/monthly record retention maintenance.

  • Perform other duties and/or special projects of a similar level of complexity as regular duties performed. Performs related duties of a similar nature, as assigned.

Qualifications

POSITION REQUIREMENTS:

  • Minimum three years of recent experience working with bank related loans, with Pacific Western Bank, another financial institution or some other position that would naturally lead to this position. Candidate must have excellent verbal and written communication skills. The ability to organize, prioritize and perform multiple tasks is a required skill. Experience in Word, Excel and a LAN system

  • Excellent communication skills and the ability to deal with multiple tasks smoothly is important.

  • Notary preferred.

  • Organizational skills/Time management.

  • Self-motivated, ability to follow through.

  • Attention to detail, manual dexterity.

  • Team player.

  • Knowledge of Commercial Loan Documentation.

  • Knowledge of applicable compliance laws and regulations.

  • Operating knowledge of bank operations.

  • Knowledge of basic accounting principles.
