POSITION SUMMARY

The W Meetings Insider is an extension of the Conventions, Banquets, Groups & Catering departments acting as a direct liaison to on site meeting contacts and meeting attendees, as well as coordinating with all the departments in the hotel on the flow and execution of welcoming and wowing guests in all meeting areas of the hotel. This position will flawlessly deliver a sense of style for creating an inclusive exclusivity & setting the W/W service standards for all functions & events, ensuring the meetings experience at W is memorable and unique while creating W client loyalty beyond reason & ESS goals.

Scope of Position:

Act as a liaison between the meeting attendees/onsite client and operating departments to ensure that our attendees are welcomed, wow-ed, and delighted upon arrival and throughout their Event/Meetings. This position provides a visible and accessible Meeting Space presence in order to engage our meetings guest and to identify key information about our attendees, regardless of in house or external, in order to customize their experience.

Hours:

The typical hours of the insider will be linked to functions, arriving at least an hour before the planned start of the event. This will change based on groups and events business.

Role duties:

Listed below is an outline of some of the duties and responsibilities of the Insider but this is not an all exclusive list.

 Daily AM and PM briefing with Convention Services Managers and Banqueting.

 Ensure all Set Ups are flawlessly executed before any activity starts in any area used by groups according to the BEOs and Daily Reports, checking with banquets if not as communicated.

 Inform Style/ Maintenance of any defects in the meetings area and pre-function area that need attention.

 Meet and Welcome Meeting Planner upon arrival, together with Convention Services Manager. At pre- con level, already presented as MAIN contact for any Meeting Planner requests.

 Meeting Planner is connected via telephone to Whatever/Whenever, Welcome Office and Convention Services departments, and offers client a telephone with direct access to the W Meetings Insider Team at all times.

 Daily early morning checks with the Meeting Planner regarding spaces, timings and services.

 Any pop up requests are signed (Events Service Request Form) by the Meeting Planner and used for back up with the final bill.

 Greet all meeting attendees that are entering and leaving the hotel’s meeting space. Upon welcoming our attendees to the hotel, inquire about what meetings they are here to attend and direct them to the appropriate location. Engage planners and attendees in the meeting areas and pre- function spaces and inquire about their sensory experience.Register any pertinent information in Opera/ GXP / Daily Updates for Meeting Planners onsite or any guests staying in hotel.

 Welcomes and escorts VIP meeting planners and VIP meeting attendees as designated by meeting planner to their meeting room.

 Engage attendees during AM or PM breaks and meal functions and assist Banquets in ensuring flawless experience.

 Follow up before leaving shift to all onsite Meeting Planners and ensure following day details are all communicated.

 W Meetings Insider to report any service delays to appropriate departments (BQTs, Culinary, AV, Sales, Maintenance, Style, Welcome Office, Whatever/Whenever, Security) and logs them with follow up by appropriate manager.

 Liaises with Banquets and goods receiver when packets arrive. When meetings ends, make sure that all boxes are reunited, labeled and picked up. W Meetings Insiders give assistance with the shipments from/to the hotel and registers the material on a shipping document.

 Report any VIP and celebrity attendees for functions and meetings to Executive Office and Director of Sales.

 Creation and Execution of Personalized Amenity Program for Meeting Planners (wow moments).

 If applicable: make office available for Onsite Meeting contacts and ensure they receive complimentary coffee break in their office. Have ready an internal phone, a list of the main contacts, a tray with office material and an IRD menu inside the room.

 Responsible for signage (digital and non digital).

 Responsible for the menu tasting folders, menu covers and seating.

 Attend on pre-con meetings, BEO and Group Fact Sheet meetings and follow up post-con for exit interview. Act as liaison for any meeting needs following our Whatever/Whenever promise (copies, internet codes, conference phones, collection or purchase of material, etc.).

 Become a gate keeper of ESS recognition by imputing expectations and amenities.

 Assist with management and day to day running of Wired.

 Weekly walkthrough of meeting spaces to ensure optimum physical conditions by reporting Maintenance and Director of Convention Services.

 Recruitment, full training and assessment of new team members.

 In charge of the W Meetings Insiders’schedule.

What the Insider is not:

 A replacement for the Convention Services Manager or Banquets Manager

 A Banquets Server

 A secretary

 Etc.
